GENERAL INFORMATION
All orders submitted to Maxwell Medals & Awards
must be placed by authorized personnel only. It is the
responsibility of the customer to ensure that only an authorized
person places an order. Maxwell Medals & Awards will
not be held responsible or liable for orders placed by
anyone representing or employed by the customer that is
not authorized to execute a purchase transaction.
Final artwork is e-mailed, faxed, or mailed prior
to production for approval by the customer or an authorized
representative of the customer.
For order clarification purposes, all orders are
acknowledged by e-mail, fax, or by mail. Upon receipt,
please review this document carefully and contact your
sales representative immediately with any discrepancies.
The customer is responsible for reviewing all terms and
conditions set forth in the acknowledgment form. A signed
acknowledgment form that we’ve received via fax or
mail constitutes your acceptance of the terms and conditions
as stated in the document. Should you decide to e-mail
the acknowledgment form back to us as an attachment or
otherwise, without an authorized signature, the receipt
of the e-mail by Maxwell Medals & Awards will constitute
your acceptance of the order as stated in the document.
A 50% deposit is required before work begins on
all orders, with the balance due upon receipt of the order.
Net 30 day terms will be granted to schools and government
agencies with a valid purchase order and to customers with
established credit with Maxwell Medals & Awards. A
credit application must be completed to establish credit
terms. Please allow 3–4 weeks to process the credit
application. A 2% pre-payment discount will apply on all
orders where full payment is received at the time the order
is placed. Visa and Mastercard are accepted. Sales and
use taxes, if applicable, will be paid by the customer.
Specific to some products and due to the nature of our
business, we reserve the right to ship and invoice 5% over
or under the total quantity ordered.
All orders are shipped F.O.B. Factory, unless otherwise
indicated. All freight and handling charges will be paid
by the customer. If a shipping method has not been specifically
requested by the customer, United Parcel Service will be
utilized. If other shipment means are required due to unusual
circumstances, upon your approval, we will select the most
appropriate method to deliver your awards in time for your
event. Drop shipment services are available. Please call
for further details.
Upon receipt of your order, carefully count and
compare with your acknowledgment form and examine all merchandise.
All claims for shortage or defective goods must be reported
to our office within 5 days of receipt of merchandise.
All claims for undelivered shipments must be reported to
our office within 5 days of anticipated receipt of merchandise.
Orders with less-than-minimum quantities required,
as stated in the product notes, are available under certain
circumstances. A minimum order charge of $25.00 will apply.

Unless custom products are damaged in shipment or reflect obvious defects
in workmanship, they cannot be returned to us under any circumstances.
Authorization for return of certain products that can be restocked and
sold again will not be granted after 15 working days from the date of receipt
of the shipment. If authorization for return of products that can be restocked
is granted, a 15% restocking charge will apply. The customer is responsible
for shipping charges to and from their location.
Orders canceled during production and prior to
shipment will be charged an amount equal to the percentage
of completion of the order at the time the order is canceled.
Some award lines are available for pre-production
samples to be produced and delivered for review prior to
the actual production of the order. For further details,

Samples Submitted
by Customers
Maxwell Medals & Awards cannot guarantee the
return of samples to the customer. If requested and if
possible, every effort will be made to return customer
samples promptly.
Due to time constraint circumstances stated by
the customer, some products may be produced in less time
than the stated normal production schedules. A charge may
or may not apply. For further details, please discuss with
a sales representative.
Prices depicted throughout the Web site are current
and subject to change without any prior notice. In the
event of a price increase, every effort will be made to
provide advance notice of such an increase.
Maxwell Medals & Awards has made every effort
to accurately publish its pricing, notes, and other general
information in this Web Site. If an error has occurred
in pricing, quantity breaks, delivery times, or in some
other area of pertinent information, which may or may not
affect your order, we reserve the right to override what
is published and provide to you the accurate information
at any time during the course of the ordering process.
Maxwell Medals & Awards reserves the right
to use any and all products produced for sale to customers
in any advertising, direct mail, collateral materials,
tradeshow booth, or other marketing vehicles and displays
unless otherwise specified in writing by the customer at
the time the order is placed. Products displayed in any
advertising, marketing, display, or promotional vehicle
are shown as examples of the type and quality of the products
produced. They are not represented for resale, nor are
they to be construed as product or brand-name endorsements
for the registered mark owners.
Trademarks, Registration
Marks, and Copyrights
The customer shall defend, hold harmless and free
of all liability, Maxwell Medals & Awards regarding
trademark, registration mark, or copyright infringements
and/or disputes. Maxwell Medals & Awards assumes the
customer has permission prior to production to use all
registered designs, marks, logos, graphics, and other artwork
submitted for the express purpose of reproduction of same
into custom medals and/or other awards. The customer agrees
to assume any and all responsibility and liability resulting
from trademark, registration mark, or copyright infringement
actions or demands brought against Maxwell Medals & Awards
We will accept any artwork you send -- pencil sketch,
camera ready art, or electronic file.
In most cases our designers and artists will prepare your
artwork to meet the specifications of its intended product.
When e-mailing an electronic file, please submit it in
any of the following formats (in order of preference):
Line Art or Logos:
Adobe Illustrator (.ai)
Adobe Photoshop (.psd, .tiff, .eps, .pdf, .jpg)
Adobe Acrobat (.pdf, .jpg)
Corel Draw (.cdr)
• Resolution of 600 dpi at same size as final reproduction.
• Include any font files that are unique to your artwork or convert the
text to outlines.
Photographic Images: RGB or CMYK
Adobe Photoshop (.psd, .tiff, .eps, .pdf, .jpg)
Resolution of 300 dpi at same size as final reproduction.
Data Files:
Basic layout for text placement and line changes
