FAQs

What methods of payment do you accept?

We accept Checks, Visa, MasterCard, American Express and Discover credit cards, ACH payments, Money Orders and Wire Transfers. Processing fees may apply. 

Is a deposit required to place an order?

A 50% deposit is required, prior to production, on all orders. The balance is due upon receipt of the invoice.  

Why do I have to pay sales tax?

Sales and Use Taxes, if applicable, will be paid by the customer. Tax exempt entities must provide a valid Sales Tax Exemption Certificate for the ship-to state indicated on the Order.

 

Is there a charge for artwork and design?

There is no charge for artwork and design as long as your order meets order minimums.  For orders less than $100.00, a $20.00 art fee will apply.

Is there a die charge for custom medals and/or pins?

We do not charge for dies as long as your order meets product quantity minimums, see product notes on the given product page. Some exceptions may apply.

Do you charge for pre-production samples?

Pre-production samples are available for some products. For costs and further details, please contact a Sales Associate.

Is there a less-than-minimum fee?

Orders with less-than-minimum quantities required are available under certain circumstances. For further details, please contact us.

Do you charge for personalization or line changes?

We do not charge for line changes on products that do not require a die, such as plaques, acrylics and trophies. Some exceptions may apply.

How much does a custom medal cost?

The cost of a custom medal depends on a number of variables such as: type, quantity, size, features and delivery requirements. See "How Much Does a Custom Medal Cost?" for more information.

How soon can I receive my order?

Production times vary by product. Standard production times are listed on our product pages. For custom medals, many variables can significantly impact the timeline, please see "How Long Does it Take to Get a Custom Medal?"

What is the latest date I can place my order and still receive my medals on time?

Is there a shipping fee?

Freight is the responsibility of the customer and is determined by weight and shipping method. 

What shipping methods (couriers) do you use?

We use UPS, FedEx, USPS and various freight carriers at our discretion. See our Shipping Policy for more details.

Can I get tracking information on my order?

Contact your Sales Associate for shipment Tracking Information.

Where are your medals made?

We produce many different types of medals, they are manufactured in the USA, Canada and various overseas production facilities.

How do I submit art and/or large files?

You may email art and related files to your Sales Associate or use our convenient FTP site.

Orders

Order and Artwork Approval

An Order Acknowledgment and/or Artwork will be emailed, faxed, or mailed before production for approval by the customer or their authorized representative. Please review carefully and contact your Sales Associate immediately with any discrepancies. Delivery dates and costs may be affected by a delay in your approval. 

A signed Order Acknowledgment and/or Artwork we receive via email, fax, or mail constitutes your acceptance of the terms and conditions as stated. The receipt of an email approval by Maxwell Medals & Awards confirms your acceptance of the Artwork and the Order. The individual who approves the order is responsible for payment.

Artwork

The standard turnaround time for artwork is three days. However, complex designs may require additional time. An art fee may be assessed if less than the standard turnaround time is necessary.

Production Time

Production time may vary due to items ordered, quantities, manufacturing capacities, and other circumstances. See Product Detail pages for Product Specific production times.

Minimum Orders

Orders with less-than-minimum quantities required are available under certain circumstances. For further details, please contact a Sales Associate. A $30.00 minimum order is required for all orders except when filling backorders. A $10.00 charge will be applied to orders under $30.00.

Pre-Production Samples

Pre-production samples are available for some products. For costs and further details, please contact a Sales Associate.

Samples Submitted by Customers

Maxwell Medals & Awards cannot guarantee the condition or return of samples to the customer. If requested and, if possible, every effort will be made to return customer samples promptly.

Errors and Omissions

If an error or omission has occurred in pricing, quantity breaks, delivery times, or other pertinent information, we reserve the right to correct the same at any time.

Dies and Molds

All dies and molds are produced for the exclusive use of the original customer and remain the property of Maxwell Medals & Awards.

Billing and Payment

Deposits and Payment Terms

A 50% deposit is required, before production, on all orders. The balance is due upon receipt of the invoice. Net 30-day terms will be granted to schools and government agencies with valid purchase orders and customers with established credit with Maxwell Medals & Awards. Once a credit card deposit has been made, the balance will be charged to the credit card upon invoicing unless other payment arrangements have been pre-arranged.

A credit application must be approved to establish credit terms. Finance charges will apply to past-due accounts.

Sales and Use Taxes, if applicable, will be paid by the customer. Tax-exempt entities must provide a valid Sales Tax Exemption Certificate for the ship-to-state indicated on the Order.
We reserve the right to ship and invoice 5% over or under the total quantity due to the nature of our business.

Claims

Upon receiving your Order, carefully count and compare with your Order Acknowledgment and examine all merchandise.

All claims for shortage or defective goods must be reported to our office within 5 business days of receipt of merchandise. Likewise, claims for lost shipments must be reported to our office within 5 business days.

Please photograph and retain packaging for carrier claims investigation if damaged during shipment.

Returned Merchandise

Unless custom products are damaged in shipment or reflect apparent defects in workmanship, they cannot be returned under any circumstances. Return authorization for products that can be restocked and sold again will not be granted after 15 business days from receipt of the shipment. A minimum restocking charge of 15% will apply if approval is granted. The customer is responsible for shipping charges to and from their location.

Cancellation Charges

Orders canceled and/or changed are subject to costs incurred to date.

Rush Service

Rush charges and expedited freight may apply to orders requiring less than standard production time. For further details, please contact a Sales Associate.

Shipping

Transportation Charges

The Customer will pay all freight and handling charges, including international customs, duties, taxes, and associated costs. All orders shall ship via United Parcel Service unless otherwise specified.

Maxwell Medals & Awards reserves the right to ship using its preferred shipping accounts and bill accordingly. Dropshipping is also available at a charge of $7.50 per location.
Address correction, delivery intercept, and other fees incurred due to Customer provided and approved ship-to addresses are the Customer's responsibility and may be billed separately.

Third-Party

Third-Party Shipping to a supplied shipper account is available for a $7.50 per box charge. Maxwell Medals & Awards reserves the right to ship using its preferred shipping accounts and bill accordingly.

Intellectual Property

Rights to Promotion

Maxwell Medals & Awards reserves the right to use images of products produced for customers in any advertising, direct mail, collateral materials, tradeshow booth, or other marketing vehicles and displays unless otherwise specified in writing by the customer when the order is placed.

Products displayed in any advertising, marketing, display, or promotional vehicle are shown as examples of the type and quality of the products produced. They are not represented for resale, nor are they to be construed as product or brand name endorsements for the registered mark owners.

Trademarks, Registration Marks, and Copyrights

The customer shall defend, hold harmless, and free of all liability, Maxwell Medals & Awards regarding trademark, registration mark, or copyright infringements and/or disputes.

Maxwell Medals & Awards assumes the customer has permission before production to use all registered designs, marks, logos, graphics, and other artwork submitted to reproduce the same into custom medals and/or other awards.

The customer agrees to assume any and all responsibility and liability resulting from trademark, registration mark, or copyright infringement actions or demands brought against Maxwell Medals & Awards.
